Procedures to Study Abroad in Canada
Application Process
The consulting process often takes six months and includes the following steps:
1. Consultancy to select a university (5-6 months prior to Canada study)
2. Prepare application and have it checked, translated and notarized
3. Submit the application to the university and get back crucial documents
4. Receive the acceptance letter
5. Pay for application and visa fees (4 months prior to Canada study)
6. After being granted visa, fill in the dormitory application form, buy tickets, complete the health insurance process.
7. Go to school
Visa Application
Step One: Admission application
The admission application consists of:
· Application form
· Passport
· Passport photos
· Academic transcripts of the last three years
· Highest certificate or diploma
· IELTS/ TOEFL Certificate
· Working Confirmation (if any)
· Study plan (if enrolling in a Master program)
The processing time takes from 2 to 8 weeks for High school and Bachelor programs. It may take longer for Master and PhD programs.
Step Two: Receive Acceptance Letter
After completion, the school will consider the application and grant acceptance letters. During this time, students should follow these guidelines:
Check the course information in the letter of admission: Conditional letter or Unconditional letter
· Course period
· The date of the beginning of term
· Tuition fees
· The conditional letter may require supporting documentation to be accepted.
Sign the acceptance form and pay the tuition fee in order to receive the acceptance letter and receipt.
To deposit money: 100% English course fee (if any) + 2,000 CAD or one semester of the official program (depending on school policy) + Application fee (about 150 CAD to 250 CAD) + Materials + Insurance.
Step Three: Submitting the Visa Application Form
This is the most important step in the process; students must submit all the relevant documents in order for the admissions officers to make the decision.
The visa application requirements include:
a. Application form
· Visa application form: IMM1294E
· Study permit questionnaire
· Family Information: IMM5645E
b. Student profile
· Study plan: reason for the program selection in Canada and detailed plan after course completion.
· Acceptance Letter and Receipt
· Academic transcript of the last 3 years + Highest certificate or diploma
· IELTS/ TOEFL Certificate (if any)
· Original Passport
· Passport photos
· Judicial record no.2 (submit three copies of ID Card, Student Card and Family-register book at the reception desk of the Da Nang Administrative Center, Tran Phu st. to request judicial record no.2)
· A certified copy of Birth Certificate and a certified translation
· A certified copy of Family-register book
· Certified ID Card copies of student and both parents
· Financial support commitment of both parents
c. Financial Documents of the Sponsor in Canada
A Bilingual English and Vietnamese Balance Confirmation of the Sponsor’s Deposit Book. The money should be in USD or CAD. A notarized copy of deposit book.
Evidence of Support
· If the sponsor is working at a state agency or company: Certificate of Income (including current position, monthly income etc.), Labor Contract, Transaction Receipt related to income, and so on.
· If the sponsor is self-employed: Business registration certificate and Tax vouchers of the last six months.
· Income from house, premise and land lease: House lease contracts (notarization suggested), Rental fee transactions (transfer suggested) and relevant tax vouchers.
· Income from business capital contributions: Capital contribution contracts, Capital contributing vouchers, Profit-sharing records etc.
· Income from other sources:
- Fixed assets
- House and land-use right certificates of ownership
- Vehicle registration documents
- Shareholder’s registers
d. Visa application and fingerprint fee: 220USD (Vietnam dong is not accepted)
Note: In addition to the fee of 220USD, students should bring 2,500,000 – 3,000,000 dong for a medical check-up when submitting. This medical requirement is one of the necessary procedures, not a “sign” of visa approval.
Processing time: about 9 weeks
Step Four: Pack for School
- After being granted their visa, students should check the day of the beginning of term in the acceptance letter. If the day has passed, students should contact the Enrollment department to require a new one.
- Book tickets and re-check maximum luggage weight.
- Prepare the acceptance letter, receipt and financial documents to apply for a Study Permit when immigrating at the airport in Canada.
